Send the Right File: Why Print Shops Ask for a Print Ready PDF
A print ready PDF is a file we can send straight to the RIP without opening a design program, and that is the whole reason we ask for one. It is not a preference, and it is not us being difficult about formats. It is the difference between your job running today and your job sitting in a queue while somebody rebuilds art that already existed once.
Here is what that phrase actually means, in plain terms, and where jobs usually go wrong.
/What print ready means
A print ready PDF has four things going for it.
The artwork is vector wherever it can be. Vector means the logo, the type, and the shapes are stored as math, not as pixels. Scale a vector logo from a business card to a 4×8 sign and the edges stay razor sharp, because the file is redrawing itself at the new size, not stretching what it already had.
The fonts are converted to outlines. Once type is outlined it is no longer text, it is shapes. That means it cannot reflow, it cannot substitute to a different font on our machine, and it cannot quietly turn your customer’s headline into Arial. Every shop has a story about a job that printed in the wrong typeface because the font did not travel with the file. Outlining kills that problem permanently.
Any raster images are embedded at full resolution, not linked. A linked image that lives on your desktop does not exist on ours. It comes through as a low resolution preview or a gray box.
The file is built at final size, or at a clean scaled ratio you tell us about. Half size at double resolution is fine. Some random in between size is where mistakes happen.
/A JPEG inside a PDF is still a JPEG
This is the single most common misunderstanding we see, and it is worth being blunt about.
Saving a picture as a PDF does not make it vector. If you place a JPEG or a PNG into a page layout and export a PDF, what you have is a PDF wrapper around a pixel image. It has exactly the same resolution it had before, no more. The PDF file extension does nothing for image quality.
You can spot it in about five seconds. Open the PDF and zoom in to 800 percent on the edge of the logo. If the edge stays crisp, it is vector. If it turns into blocks and fuzz, it is raster, and enlarging it will make that fuzz bigger, not better. No software fixes this. The AI upscalers people ask about produce something that looks plausible on a screen at 6 inches wide and looks invented at 6 feet wide, with letterforms that are subtly the wrong shape. On a logo, that is worse than useless.
/The 100dpi rule for wide format
For wide format, roughly 100dpi at full final size is the working standard. That is the number to design to.
People coming from commercial offset printing hear that and assume something is wrong, because in that world 300dpi is the rule. Both numbers are right for their own use. Viewing distance is what changes. A brochure is read at 12 inches, so it needs fine detail. A 3×8 banner is read from across a parking lot. At that distance your eye cannot resolve the difference between 100dpi and 300dpi, but your file size, your RIP time, and your patience all notice.
Doing the math is simple. A 3×8 foot banner is 36 by 96 inches. At 100dpi that is a 3600 by 9600 pixel image. If the photo the customer sent is 1200 by 800 pixels off a phone, it is not going to hold up at that size, and no amount of exporting it as a PDF changes the arithmetic.
If the file is a little short, tell us. Photographs are forgiving, because grain and softness read as depth from a distance. Logos and text are not forgiving at all, because your eye knows exactly what a clean edge is supposed to look like.
/The 2 inch web logo problem
A logo pulled off a website cannot become a banner. There is no workaround, and this is the conversation that costs shops the most time.
Web logos are built small on purpose. A 200 pixel wide PNG grabbed from a homepage is about 2 inches of usable print. Blow that to 6 feet and every edge shows the stair steps. It is not a printing problem and it is not something a better printer solves. The information simply is not in the file.
The fix is to go find the real art. Ask the customer for the original vector, in whatever form it exists: AI, EPS, SVG, or a PDF that actually contains vector. It usually lives with whoever designed the logo, or in an old brand folder, or in an email from three years ago. It is worth ten minutes of asking, because the alternative is a redraw.
/Redraw fees are normal, and you should charge them
If nobody can produce usable art, the logo gets rebuilt by hand in vector. That is real work by a real person, and an art fee for it is standard across the entire industry. Every trade printer, every commercial printer, every sign shop charges for it.
Do not eat that cost to be nice. Quote it up front as a separate line, explain what it buys, and note that once it is done the customer owns clean vector art they can use on everything else forever. Framed that way, most customers say yes without blinking, because they understand they are paying once to fix a problem that has been costing them for years. Framed as a surprise charge on the invoice, the same fee starts a fight.
/The short version
Send a print ready PDF. Vector where possible, fonts outlined, images embedded, built at full size or a clean scale, roughly 100dpi at final size. Do that and your job runs clean the first time.
